GENERAL INFORMATION

ATTENDEE COUNT/MEAL GUARANTEES

Bricks & Brass (I.E. Four Points by Sheraton Tallahassee Downtown) requires that a guarantee is submitted two weeks prior to your event.  If your event is scheduled on Tuesday, then the guaranteed attendance must be received by noon on the preceding Friday. The Four Points will be responsible for service up to 5% over the guarantee.  If the number of guests attending your event falls below the meal guarantee, then the host is responsible for the number guaranteed.

NON-REFUNDABLE DEPOSITS/PRE PAYMENT (SOCIAL FUNCTIONS)

To secure your event date and validate your contract, a signed contract and non-refundable deposit are required. Deposits may be paid by credit card or cash and will be applied toward your final bill. A valid credit card must remain on file prior to your event. In the event of cancellation, advance deposits are non-refundable.

A deposit of 15% of the room rental and food & beverage minimum is due upon signing the contract. An additional payment of 50% of the food & beverage minimum is due 90 days prior to the event. The final payment, along with your confirmed headcount, is due 7 days before the event. At this time, the final Banquet Event Order (BEO), with approval and signature, is also required. Please note that the event cannot proceed without a signed BEO.

If payments are not received by the specified deadlines, charges will be automatically applied to the credit card on file. Any additional charges incurred on the day of the event will also be posted to the card at the conclusion of the event.

FOOD AND BEVERAGE MINIMUMS

To guarantee your reservation of the Bricks & Brass Ballroom, a food and beverage minimum is required. This minimum applies to food and beverages only and will not be reduced if the expected attendance is lower than anticipated. The minimum does not include service charges, sales tax, or any additional rental fees.

CHEFS AND CARVERS

Chefs and carvers are required for certain menu items and are charged $200++ each for two hours. This fee is subject to a 7.5% tax, which is subject to change.

PRICES, GRATUITIES AND TAXES

Event prices may change to reflect increases in the cost of materials or operations for bookings made 90 days or more in advance. All items are subject to 7.5% Leon County sales tax and a 22% service charge. For tax-exempt organizations, a current certificate must be submitted at least two weeks before the event to ensure your account is set up accordingly.

ALCOHOLIC BEVERAGE CONSUMPTION

The sale and service of alcoholic beverages are regulated by the Florida State Liquor Commission, and Four Points by Sheraton Tallahassee Downtown is responsible for enforcing these regulations. It is against hotel policy to bring alcohol or liquor from outside sources into the hotel’s meeting rooms. Similarly, food purchased or catered from outside sources may not be brought into the meeting rooms, with the sole exception of wedding cakes. In compliance with Florida statutes, alcohol sales and consumption on property will end promptly at 2:00 AM—no exceptions.

SECURITY

Hotel does not provide security in the event and function space and all personal property left in the event or function space is at the sole risk of the owner. Customer will advise its attendees that they are responsible for the safekeeping of their personal property.

Hotel may reasonably require Customer to retain security personnel to safeguard guests or property in hotel and event space. Security personnel are not authorized to carry firearms without advance Hotel approval.

INSURANCE

The hotel and the group shall obtain and maintain and provide evidence of insurance upon request in amounts sufficient to provide coverage for any liabilities which may reasonably arise out of or result from the respective obligations pursuant to this contract.  Four Points will not be additionally insured on any client or vendor’s request; however, event insurance can be obtained through an outside party.

MISCELLANEOUS

To preserve the integrity of our event spaces, nothing may be affixed to the walls, floors, or ceilings with nails, staples, tape, or other adhesives. The use of confetti as décor is strongly discouraged. If confetti is used, a $250 cleanup fee will be applied to the banquet bill.

Four Points by Sheraton Tallahassee Downtown reserves the right to require security personnel for certain events. The hotel also reserves the right to assign alternative function space within the property if necessary or if attendance significantly differs from the original guarantee.

The hotel is not responsible for the loss or damage of merchandise or personal items left on the premises before, during, or after the event.

Packages may arrive at the hotel no more than 72 hours prior to guest arrival/retrieval. Package handling fees will be applied to your guest room or group master account for all packages received without prior written notice.
